The challenge

Supplier audit scheduling was managed through a single 18,000-row spreadsheet emailed across auditors and coordinators. Individual updates had to be reconciled into one master file, creating version conflicts, coordination errors, regulatory reporting risk, and unnecessary information-security exposure.

Objectives

  • Replace the manual spreadsheet with a centralized scheduling platform
  • Reduce missed schedules and audit-report timing risk
  • Limit visibility through role-based access
  • Reduce manual effort required to build and maintain the annual audit plan

BEPC's role

BEPC delivered the full ARMS platform from design through development, testing, launch support, hypercare, and ongoing module enhancements requested by the client.

Scope & approach

Designed and developed a MERN-stack web application
Used Agile/SCRUM planning, client demos, and iterative delivery
Mobilized three software engineers and one project manager at peak development
Supported staged release through SharePoint interim tooling, user testing, launch, and hypercare

The team moved the client from a temporary SharePoint workaround into a purpose-built application, validating workflows with pilot users before release and continuing support through bug fixes and new modules.

Outcomes

ARMS replaced the spreadsheet-driven audit scheduling process with one centralized platform. Auditors and coordinators now work from controlled role-based views, reducing missed audits, eliminating annual manual consolidation effort, and lowering information-security risk.
